About the Role

Project Coordinator – AI/ML Projects | Full time, hybrid/mobile working London/Birmingham, 12-month FTC

We’re looking for a proactive and adaptable Project Coordinator to work on our cutting-edge AI/ML workforce management tool. In this exciting role you’ll assist in project management planning, coordinating, and executing deployment and change management activities for our brand-new artificial intelligence/machine learning tool. This includes supporting project tracking, stakeholder engagement, training, communications, and monitoring adoption across diverse world-class sports and entertainment venues. 

This is a flexible hybrid/mobile role working remotely, from either our London or Birmingham offices, and occasional travel to venues. 12-month fixed term contract initially, with the possibility of a permanent role in future.

Project Coordinator – The role 

  • Support the Senior Project Manager in planning and coordinating deployment activities for the AI/ML workforce management (WFMAIML) tool.
  • Assist with project documentation, scheduling, and progress tracking.
  • Coordinate logistics for training sessions, workshops, and venue rollouts.
  • Help prepare and distribute communications and training materials to venue teams.
  • Liaise with venue managers and staff to gather feedback, monitor readiness, and address concerns.
  • Track adoption metrics and support the collection of feedback for continuous improvement.
  • Assist in tailoring change management approaches for different venue types and operational cultures.
  • Maintain project records, action logs, and risk registers.
  • Support the organisation and facilitation of meetings, including SteerCos and technical working groups.
  • Escalate issues and risks to the Senior Project Manager as needed.

What we’re looking for 

  • Previous experience supporting projects or change initiatives, ideally in a multi-site or operational environment.
  • Strong organisational and coordination skills, with attention to detail.
  • Excellent communication and interpersonal skills.
  • Comfortable working with diverse teams and stakeholders.
  • Proactive, adaptable, and able to manage multiple tasks simultaneously.
  • Competent with Microsoft Office (Word, Excel, PowerPoint, Teams) and project management tools.
  • Willingness to travel to venues as required.
  • Hospitality, events, or venue-based operations is a bonus!
