More about the role:
As a Sales Adminstrator, you will play a key role in supporting our Business Development team by managing the inbox that handles live communications for tenders related to both new business opportunities and client retention. You will be responsible for overseeing the contracts and subscriptions for all UK tender portals (e-senders), ensuring they are maintained and up-to-date. In addition, you will support the tracking, management, and administration of UK frameworks, helping the team stay organised and responsive. This is a varied role that also includes providing day-to-day administrative support across the team, requiring a flexible and proactive approach to shifting priorities.
Responsibilities Include
- Manage the Business Development inbox daily, reviewing new business enquiries, tender invitations, and other communications, and allocating them to the relevant internal stakeholders across all sectors.
- Monitor notification sites each day to ensure full market visibility, sending relevant new opportunities to the Growth team and supporting early-stage bid decisions.
- Support access to all tender portals, including registrations, account management, downloading documentation, and troubleshooting any access issues.
- Manage live communications throughout the tender process, ensuring updates and deadlines are tracked and shared with internal teams.
- Maintain and update relationships with portal and framework account managers to ensure correct coding and notifications are set up.
- Log and track all incoming framework opportunities, manage framework end dates, ownerships, and monitor ongoing opportunities across sectors.
- Process and track portal payments, MI invoices, and support financial administration, including chasing outstanding payments and maintaining up-to-date records.
- Clear and triage all incoming queries to ensure prompt escalation to the appropriate sector SMEs within agreed timescales.
- Support the business with ad-hoc reporting, audits, and project work
- Keep internal trackers, CRM data, and research logs updated accurately.
- Administration of the SHARE prospect referral scheme.
- Attend supplier review meetings as required and provide support for document uploads/downloads.
- Provide first-line support for portal-related issues, liaising with external suppliers as necessary.

Essential for reviewing tender notices, downloading correct documents, logging framework details accurately, and handling invoicing. - Communication Skills
Must be confident in communicating with internal stakeholders, portal suppliers, and external framework managers professionally and clearly — both written and verbal. - Proactivity and Initiative
Needs to spot issues early (e.g., portal access problems, missed opportunities) and take action without waiting for direction. - Adaptability and Flexibility
The work will change daily based on new opportunities or urgent tender deadlines; the BDC needs to pivot quickly between tasks. - Technical Literacy and System Confidence
Comfortable working with tender portals, CRM systems, notification sites, trackers, and reporting tools — and learning new systems quickly if needed. - Problem Solving
Able to troubleshoot portal issues, registration problems, or invoicing errors independently, escalating only when needed. - Analytical Skills
To assess tender opportunities and spot the best leads for the Growth team, not just forward everything without evaluation. - Team Collaboration
Works closely with the wider Business Development, Growth, and operational teams, ensuring seamless coordination during live tender processes. - Administrative and Financial Skills
Ability to manage document handling, maintain trackers, and support with invoicing tasks accurately and reliably.
Desirable Skills
- Experience managing tender portals (e.g., Proactis, Jaggaer, Delta eSourcing, etc.).
- Understanding of public sector and/or private sector tendering processes.
- Previous experience supporting framework management and tender submission processes.
- Familiarity with CRM platforms (e.g., Salesforce, Dynamics, or similar systems).
- Experience working with reporting tools or producing tender/BD performance reports.
- Keep internal trackers, CRM data, and research logs updated accurately.
